The first step is to decide whether your proposal might be considered for funding by Royal Surrey Charity.

The first step is to decide whether your proposal might be considered for funding by Royal Surrey Charity. To help make this decision please refer to the Decision Tree and Eligibility Criteria.

If you are confident the idea is eligible for funding then you can proceed to the next step. If you are not sure, please get in touch for support.

Should I apply to a Designated Fund or the Greatest Need Fund?

There are two routes to funding from the charity: via a Designated Fund or our Greatest Need Fund.

There are two routes to funding from the charity: via a Designated Fund or our Greatest Need Fund. Designated Funds are individual charity funds that relate to specific areas of the Trust. The Greatest Need Fund covers all areas of the Trust.

In the first instance, you should find out whether there is a Designated Fund for the area your idea relates to.

What are the Designated Funds?

You can view a list of our funds, along with the designated fund managers, on our Designated Funds page.

Designated Funds are individual charity funds that relate to specific areas of the Trust. Each fund has a minimum of three Fund Managers and a Charity Champion who can support you with your application. You can view a list of our funds on our Designated Funds page.

If there is a relevant Designated fund that aligns to your idea, you should contact the Charity Champion providing a brief description of your proposal. You can find more information about our Designated Funds and how to apply in Step two.

When can I apply to a Designated Fund?

Applications to Designated Funds can be made throughout the year.

Applications to Designated Funds can be made throughout the year. You must present your idea to a relevant fund manager who will consider whether your proposal meets the eligibility criteria and objectives of the charity.

If your proposal requires less than £5K the fund manager can approve or decline your proposal themselves. You should expect a response within 2-3 weeks.

If your proposal requires more than £5K, the fund manager will ask you to complete a Charity Business Case which must be approved by the Trust prior to assessment by the charity. All proposals with a value of £5K - £20K are assessed by the Charity Select Committee and decisions aim to be made within 2-3 weeks.

I have an idea but there is not a related Designated Fund

What to do if there isn't a Designated Fund relating to your project.

If there is not a relevant Designated Fund, you should consider applying to our Greatest Need Fund, which covers all areas of the Trust. It is managed by the charity and is open for applications annually. Once a year, we will confirm the amount of funding available and invite applications from across the Trust within the first few months of each financial year.

Any member of staff at Royal Surrey NHS Foundation Trust can apply to the Greatest Need Fund. Before applying, please make sure you have consulted with an appropriate senior member of your team to ensure your idea is suitable and supports the departments’ plans.

How do I apply to the Greatest Need Fund?

Information you need to apply to our Greatest Need Fund.

For applications to the General Fund, you’ll need to wait until our competition is open. Dates, timelines and requirements for the competition will be announced to all trust staff within the first few months of each financial year.

Once the details are confirmed, all the relevant information will be updated here. The competition will be promoted through Trust staff communications, so don’t worry: you won’t miss out!

When do I have to complete a Charity Business Case?

Where an idea requires more than £5,000 of funding, a Charity Business Case must be completed and approved by the Trust before it can be considered by the charity.

Where an idea requires more than £5,000 of funding, a Charity Business Case must be completed and approved by the Trust before it can be considered by the charity. Please do not start a Business Case before ensuring both the appropriate Fund Manager and Royal Surrey Charity are aware and happy with your plans.

Every business case will require approval from a number of signatories across the Trust. Additional sign-off may be required depending on the nature of the project e.g. approval from Estates, IT or Finance. This process can take some time – so it is important to allow for this.

The charity has a similar Business Case template as used by the Trust. You should provide as much detail as you can as we use the information provided to assess whether the proposal should be awarded funding. You can download a Charity Business Case from our Resources and contacts page.

Once I have been granted funding, what happens next?

Find out what to expect after your application has been successful.

Once you have confirmation that your idea will be funded by Royal Surrey Charity, you can proceed with the procurement process. All purchases made through the Trust should go through HPL (Healthcare Partners ltd). An accurate quote will need to be included in your application for funding, so it is very important to contact HPL as early as possible to avoid delays.

Healthcare Partners Ltd (HPL) is part of the NHS as a wholly owned subsidiary of the Royal Surrey Trust. HPL can help with adding new suppliers and ordering. Purchases are processed through the Trust’s SBS procurement system and will need to be managed by a member of staff within your team/department. Ideally that member of staff should have access to and experience making purchases through SBS. If you have any problems finding someone with the relevant experience or access you should contact your team/department’s Finance Business Partner who can provide further guidance.

It's worth being aware that the Trust’s SBS System is only suited to suppliers who can provide written quotes and invoices. Unfortunately, the charity is currently unable to provide credit card or BACs payment options for charity purchases.
